How we use personal data

This notice explains what personal data we collect about website visitors, people who book a call with us, and people at recruitment agencies we'd like to work with, and what you can do about it. Last updated 21 October 2026.

Who we are

SynkRecruiter is a trading name of Service Synk Limited, a company registered in England and Wales (number 16873556), registered office 45 Pennine Way, Downswood, Maidstone, England, ME15 8UF. We are the controller of the personal data described in this notice.

Questions about your data, or to use any of your rights: privacy@synkrecruiter.com.

If you are a candidate, client or contact of a recruitment agency that uses SynkRecruiter, that agency decides how your data is used and its own privacy notice applies. We process that data only on the agency's instructions. See Security & GDPR.

Visiting this website

  • What: only if you click Accept on our cookie notice, HubSpot records the pages you visit, when, your device and browser, your approximate location from your IP address, and which link brought you here (for example one of Joe's LinkedIn posts). If you later book a call or email us, that history can be linked to you.
  • Why: to see which pages and posts are useful and who is interested in SynkRecruiter.
  • Lawful basis: your consent. If you click Reject, or do nothing, none of this is collected. You can change your mind at any time with "Cookie settings" at the bottom of every page. See our cookie notice.

Booking a free desk review

  • What: your name, email address, agency and the answers you give when booking through Calendly (such as your CRM, team size and a role you're working on), plus anything you tell us on the call. We never ask for candidate data.
  • Why: to run the call, follow up with a summary, and talk to you about using SynkRecruiter.
  • Lawful basis: our legitimate interests in responding to your request and selling our service to businesses, or steps you ask us to take before entering into a contract.

Downloading a guide or using a free tool

  • What: your first name, work email address and agency, and whether you ticked the box asking for occasional articles. The answers you give in a free tool, such as the Database Audit, are worked out in your browser and never sent to us.
  • Why: to send you what you asked for, see which guides are useful, and, only if you ticked the box, send you occasional articles. Every email lets you unsubscribe.
  • Lawful basis: our legitimate interests in responding to your request and marketing our service to businesses; your consent for the occasional articles.

Business contacts at recruitment agencies

  • What: business contact details of owners, directors and senior people at UK recruitment agencies: name, job title, agency, work email address, work or mobile phone number, LinkedIn profile, and notes of our contact with you.
  • Where it comes from: public sources such as company websites, LinkedIn and Companies House, and business data providers (Apollo.io and GetLeads).
  • LinkedIn engagement: if you react to or comment on one of Joe Chaplin's public LinkedIn posts, we may note that, and which topics you engaged with, against your contact record. We only record public activity, never what you view.
  • Why: to contact agencies that could benefit from SynkRecruiter, by email, phone or LinkedIn, and to understand what interests them.
  • Lawful basis: our legitimate interests in marketing our service to businesses. We have weighed these against your interests and only use business details for business purposes. Emails go to company addresses, and every email lets you opt out.
  • Your right to object: tell us at any time and we will stop contacting you and stop recording your engagement. We keep a note of your objection so we don't contact you again.

Who we share it with

We don't sell personal data. We use these providers to run our business, each under a contract that protects your data:

  • HubSpot (our contact records, website analytics and email), data held in the EU.
  • Calendly (booking calls), USA.
  • Netlify (hosting this website), USA.
  • Apollo.io and GetLeads (business contact data), USA and UK.
  • Microsoft 365 (our email), UK and EU.

Where data goes to the USA, it is protected by the UK-US data bridge or the UK's approved contract clauses.

How long we keep it

  • Website analytics: as long as HubSpot's cookies last (up to 13 months), and the visit history linked to your contact record for as long as that record.
  • Business contacts: 24 months after our last contact with you, unless you become a customer.
  • Review call bookings and notes: 24 months, unless you become a customer.
  • Guide and white paper downloads: 24 months after your last contact with us, unless you become a customer.
  • Customers: for the length of the contract and 6 years after, for legal and tax records.

Your rights

You can ask us to give you a copy of your data, correct it, delete it, restrict how we use it, or move it to another provider, and you can object to our use of it at any time. You can withdraw consent to cookies whenever you like. Email privacy@synkrecruiter.com; we will reply within one month.

We do not make decisions about you by automated means alone.

If you're unhappy with how we've handled your data, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk.

Changes

We will update this notice when what we do changes, and change the date at the top.
